Click AO-GS-Button-Clients.png to access the Find Client page. The Find Client page allows you to search for a selected client.

The screenshot above shows MYOB AO for Australia without Practice Manager installed. For New Zealand the screen will look similar, although some field names are different, for example, you will see IRD instead of Tax File Number and ABN.

For Australia the screen will look similar, although some field names are different, for example, you will see Tax File Number and ABN instead of IRD. If you do not have Practice Manager, you will have less buttons on your toolbar and no Practice Manager tasks on your tasks bar (see the previous screenshot).

The Find Client page is divided into the following areas: Search, Search Results table and Tasks bar. Each area is described in more detail below.

Enter search criteria into the Search for text field. You can select to search by the client Name and Code, IRD (New Zealand) or TFN/ABN (Australia). Click the Search button to perform the search.

The search results which match your search criteria appear in the Search Results table. Double-click a client in the Search Results table to open and view the client, or click to select the client and click OK at the top of the Find Clients page. Click Cancel to close the Find Clients page.

Search Results table

The Search Results table lists all those clients which match the search criteria entered during the search. Double-click a client in the table to open and view the client.

By default the Search Results table lists:

 CodeCode for the client which is used to uniquely identify the client.
Name The client's full name.
Contact Type 

Clients can be of type:

  • Individual

  • Club or Society (New Zealand)

  • Company

  • Fund (Australia)

  • Local Body

  • Non-Profit Organisation (Australia)

  • Other Organisation

  • Partnership

  • SMSF (Australia)

  • Trust

PartnerThe partner who has been assigned to look after the client.
ManagerThe manager who has been assigned to look after the client.
BusinessThe business phone number listed for the client.
EmailThe client's email address.

The Search Results table also has the following features:

FeatureDescription
Search results statusThe number of clients who match the search is shown at the top of the table in blue text along with the time and date the search was run.
Field chooser

This enables you to select the fields you want to display in the table. Right-click the table and select Field chooser from the menu. To add a new column drag a field from the Field Chooser list to the column heading row in the table. To remove a column drag the column heading from the table to the Field chooser list. Click AO-GS-Button-Red-Cross-01.png to close the Field chooser window.

Column headingsThe column headings allow you to sort the rows in the table alphabetically or numerically using the values in the selected column. Click the column heading once to sort in ascending order. Click the column heading again to sort in descending order.
Sort barThe Sort bar is the grey bar at the top of the window, it allows you to group the records in the table. Drag the column heading to the grey area above the list to group by that column. For example, if you drag the Partner column heading to the Sort bar, the table shows the client records grouped by Partner.
Search filter

The first row of the table allows you to filter the information in the table. You can enter a specific value into the cell to filter by or click the arrow and select a value from a list. Click AO-GS-Button-ClearFilter-02.png to clear the filter.

Search option checkboxes

The checkboxes at the bottom of the table allow you to set further criteria for the search. You can choose to:

  • Hide form when only one item found - if there is only one record that matches your search criteria, the relevant page for that record will open automatically rather than being listed in the search results.
  • Search any part - search results will contain any part of the search criteria within their name. For example: ‘mit’ in Smith. If this option is not selected, search results will show only those names with the search criteria at the beginning of their names.
  • Include closed clients - include former clients in the search.

Tasks bar

The Tasks bar is always displayed in the left of the MYOB AO window. It provides one–click navigation to useful options that are relevant to the currently open page. The options available on the Tasks bar change as you move to different pages or windows.

On the Find Clients page the following tasks are available:

Create ClientClick Create Client to open the Create Client/Contact Wizard to create a new client or contact. See Creating a client for more information.
Clear SearchClick Clear Search to clear the search criteria which has been applied to the Search Results table. The Search Results table will have no entries. See Finding an existing client for more information.
Remove tickedClick Remove ticked to clear any selections which have been made in the Search Results table. The checkbox will be cleared for those rows where the checkbox in the first column has been selected.
Practice Manager (only available if you have Practice Manager registered)
WIP enquiryclick WIP enquiry to view the WIP entries for the selected client. See Viewing Client WIP for more details.
Debtors ledgerclick Debtors ledger to open the Debtors ledger for the selected client. See Using the Debtors Ledger for more details.

Mail merge wizardThe mail merge component allows you to use data stored in your database to produce mailing labels, create marketing letters for the practice and generate regular newsletters to clients. Click Mail merge wizard to open the Mail Merge Wizard. See Using MYOB AO > Mail Merge in the Online Help for more information.
