Reversing a bill creates a complete reversal of the original bill. The full amount must be reversed.

This process will return all WIP to the client ledger for use in future bills.

There are 3 tasks to complete:

  • Reverse the bill

  • Post the reversal bill

  • Allocate the reverse invoice in the Debtors Ledger against the original invoice. You may issue a new invoice for the correct amount.

To reverse a bill
  1. Open the relevant client. The Client page opens.
  2. Access the Bills tab on the Client page.

  3. Click the bill you want to reverse in the Full Billing History.
  4. Click Reverse. A Bill Reversal confirmation message appears.
  5. Click Yes. A draft version of the bill is created for today’s date and listed in the Draft Bills list.
  6. Double-click the new draft bill to open it in the Billing Main page.
  7. Click to open the Bill Paragraphs window and review them.
  8. Make changes if required.
  9. Click OK to return to the Billing Main page.
  10. Change the Invoice date if required.

    If the original invoice is in a prior period:
    Bill reversals are processed in the current open period so that the end of month reports for the previous period(s) are not adversely affected.

    If the original invoice in current period:
    If you are reversing a bill in the same period in which it was created, the reversal date should not be before the original billing date.

  11. Leave the Invoice number blank. MYOB AO will enter the next invoice number.
  12. Click Post to finalise and print the reversal.
  13. Click Close to return to the Client page > Bills tab. The reversal is listed as a new bill in the Full Billing History for the client.
  14. Click Debtors ledger in the Tasks bar. The Debtors Ledger opens.
  15. Click the reversal bill.
  16. Press and hold [Ctrl] and click the original bill.
  17. Click Allocate. The reversal is allocated against the original bill.
