Windows XP support has ended

If you have multiple tills in your retail business and want to maintain and update a single database, you need to run RetailManager on a network.

The information provided in this support note is only a guide. You computer network may need to be configured by a network technician or a RetailManager Professional prior to attempting to set up RetailManager on a LAN (Local Area Network).

Setting up Retail Manager on a Windows XP network

 

1. Share the RetailM directory
  1. On the server computer that stores the RetailManager shopfront, right-click the Windows Start button and choose Explorer.
  2. Locate and highlight the RetailM folder by clicking it once. The RetailM folder is usually located on the C Drive.
  3. Go to the File menu and choose Properties.
  4. Click the Sharing tab. The following window will be displayed. Note: if the window that appears is different to the below image, you may have to disable 'Simple File Sharing'. To do this through Windows Explorer, go to the Tools menu and choose Folder Options then click the View tab. Scroll to the bottom of the list of options, and deselect the option Use Simple File Sharing (Recommended).

  5. Select the Share this folder option. The share name defaults to RetailM. Note: Some workstations may not be able to access the folder if the share name has more than eight characters.
  6. Click Apply then click OK.
  7. The RetailM folder will now be displayed in Windows Explorer with a hand beneath it, indicating that the folder is shared. You can now access this folder from any other computer on your network.
2. Connect the workstation computer to the database on the server
  1. Open RetailManager on the workstation computer.
  2. Go to the File menu and choose Configuration. If your shopfront is currently open, you will be prompted to close it. Click Yes.
  3. Click Network To. The Select Shopfront Path window is displayed.
  4. Select My Network Places from the Look in drop-down list and double-click the icon that shares the same name as your server computer.
  5. Double-click the Drive letter in which the database is stored. In most cases, this is the C Drive. Double-click the RetailM folder.
  6. Double-click your shopfront folder. Select the Recent.mdb file and click Open.

  7. A window is displayed asking you to connect to the specified shopfront. Click Yes and close the configuration window.
  8. If you only have one shopfront, it will open automatically after you close the configuration window. If you have multiple shopfronts, a Shopfront Selection window will appear asking you to choose which shopfront you want to connect to.
  9. Repeat this procedure for any other workstation computers for which you have registered additional licences.

My docket printer is connected to my point of sale computer. Can I print dockets from other computers on my network?

Yes, RetailManager allows you to share your docket printer over the network so sales can be processed on more than one computer.

Before you start, ensure that both computers share the same Workgroup name and that it is spelt in UPPERCASE or CAPITAL letters. You can check this by going to your Desktop and right-clicking the My Computer icon and choosing Properties. Click the Computer Name tab. Next to where it has Workgroup:, ensure this is spelt correctly. If it is not, click Change. When the Computer Name Changes windows appears, you will then be able to edit the Workgroup name. Once you have made sure the Workgroup name is the same on both computers, Click OK and restart both of them.

  1. On the computer where the docket printer is actually connected, click the Windows Start button and choose Printers and Faxes.
  2. Click Add Printer. The Add Printer Wizard appears.
  3. Click Next.
  4. You will be prompted to install a Local or Network printer. Choose Local and ensure that Automatically detect and install my Plug and Play printer is not selected. Click Next.
  5. Highlight the correct port that the printer is connected to. Click Next.
  6. Specify the manufacturer and model of printer you want to install. Choose Generic as the manufacturer and Generic / Text Only as the printer. Click Next.

  7. Leave the printer name as Generic / Text Only and select No to making this the default printer. Click Next.
  8. You will be asked if you want to share this printer. Select the option Share Name: and click Next.
  9. Click Next at the Location and Comment window.
  10. When prompted to print a test page, click Yes. If a test page prints on the docket printer, you have set it up correctly. Click Finish
How can I configure RetailManager to print on the networked docket printer?
  1. Go to the Setup menu and choose Hardware.
  2. Click the Docket Printer tab.
  3. Select the Use Docket Printer option.
  4. Select the Type of Docket Printer you are using.
  5. Click Search... then click the drop-down arrow next to Port and choose the path to the networked docket printer.

  6. Click Apply then click Test. A few lines of text will print out on the docket printer.
I have a cash drawer that is connected to my docket printer on the server. Can I use that cash drawer over the network as well?

Yes. By entering a command into the Docket Printer window, you can trigger the cash drawer to open when the docket print. Note: On the networked machines you do not need to select the Use Cash Drawer option.

  1. On your additional terminal (the computer that the docket printer and cash drawer are not connected to), go to the Setup menu and choose Hardware.
  2. Click the Docket Printer tab.
  3. On the Docket Printer window:
    1. If you want the cash drawer to open at the start of the print, type the Cash drawer trigger into any double width or second colour fields that are blank.
    2. To open the cash drawer at the end of the print-out, select the Paper Cutter Activate check box & type the trigger used to open the Cash Drawer on the Cut field.
  4. In the above example the trigger is Ctrl+G. Note: If you are unsure what the trigger is, you can find if by looking in RetailManager on the computer that the docket printer and cash drawer are connected to. Go to the Setup menu and choose Hardware. Click the Cash Drawer tab and make a note of the trigger. Close out of the hardware screen and return to your additional terminal. See the table below for a list of common triggers.
  5. Once you have entered the correct trigger, click Apply then click Test. The printer should now print a test print and open the cash drawer. 
What are some of the common cash drawer triggers?

Ctrl+G, Ctrl+X, etc.

Hold down the Control key then press the corresponding letter (excluding the + key).

NULL

Hold down the Ctrl key, then the Shift key, then the number 2. Do not use the numerical keypad on the right of the keyboard. Use the numerical keys above the letters.

ESC

Press the Esc key in the top left-hand corner of the keyboard.

Press the Enter key

<space>

Press the space bar

Hold down the Alt key and press the number 2, then the number 5, and then the number 0. Let go of all keys at the same time. Only the numbers on the Numerical keypad can be used.

P or p

If the letter is in capitals, hold down the shift key, then the letter p. If the letter is in lowercase, simply hit the letter p.

How do I give my staff access to use RetailManager when they do not have 'administrator' permissions in Windows XP Professional?

You can give your staff members access to use RetailManager by granting their user account 'modify' permissions to the RetailM folder.

To set the correct permissions:

  1. Right-click the Windows Start button and choose Explore.
  2. Browse to the C:RetailM folder.
  3. Right-click the RetailM folder and choose Sharing and Security.
  4. Click the Security tab.
  5. Select the staff member's name in the top window. In the below example, our staff member is part of a group called 'Users', so we have selected the 'Users' group rather than an individual staff member.
  6. Select the Modify permission from the bottom window.

How do I ensure that my staff can perform an accounting export from RetailManager when they do not have "administrator" permissions in Windows XP Professional?

You can allow staff members to perform and accounting export by granting their user account 'modify' permissions to the MYOB or Premier folder.

To set the correct privileges:

  1. Right-click the Windows Start button and choose Explore.
  2. Browse to the C:MYOBx folder or the C:Premierx (where "x" is the most current version number).
  3. Right-click the selected folder and choose Sharing and Security.
  4. Select the staff member's name in the top window. In the below example, our staff member is part of a group called 'Users', so we have selected the 'Users' group rather than an individual staff member.
  5. Select the Modify permission from the bottom window.
