Two-factor authentication (2FA) improves your security by making it harder for unauthorised people to access your data.

UI Text Box

2FA is becoming mandatory for all MYOB software users (and for accounting software generally) to comply with new industry standards.

What is it?

Two factor authentication is the addition of a second level of security to the login process. This double-checks you are who you say you are, protecting your data from theft.

Check out this short video for an overview of 2FA with MYOB:

How does it work?

After When you sign in to your MYOB account using your MYOB linked email and password, you'll be asked for an authentication code. The way you retrieve this code will depend on the 2FA method you've set upre using.

Do I need to use two-factor authentication every time I sign in?

When you first sign in using two-factor authentication, you can choose not to use 2FA again on that specific device and browser for 30 days. From then on, we'll only ask for your password when you sign in.

But don't worry, you're still protected by 2FA because when you or anyone else tries to sign in to your MYOB account from another computer, two-factor authentication will be required.

Which phones work with two-factor authentication?

MYOB's two-factor authentication works with any iOS, Windows or Android smartphone or tablet.

Can I use a tablet or computer instead of my phone?

Yes. You can use authenticator apps on tablets, and Authy is an authenticator app that you can use on a computer.

The other option is to use email 2FA, which works on phones, tablets, and computers that you can access your email inbox on.

What if I don't have my phone with me?

If you don't have your phone, you can still sign in with two-factor authentication using a one time use backup code.

Backup codes are made available to download at the end of the setup process.

We highly recommend that you download and save/copy your backup codes in a secure, accessible location other than your phone.

If you've misplaced your backup codes, you can download them from the Security Centre. Note that you need to sign in to the Security Centre using two-factor authentication.

If you've misplaced your phone and your backup codes, see Recovering your account.

Can my authentication code be messaged to me?

We use an authenticator app instead of SMS because authenticator apps can generate a 2FA verification code without mobile network coverage, so you can access your MYOB account anywhere, anytime.

You can use any authenticator that is TOTP compliant; but we recommend using either of these authenticator apps:

  • Google Authenticator
  • Windows Authenticator

If you don’t want to use an authenticator app, you can choose email 2FA instead.

Do authenticator apps require mobile coverage, data or internet access?

Once installed, most authenticator apps don't require mobile coverage, data or internet access. But it's best to check the settings within your authenticator app to see if you need to enable offline functionality.

If you have any issues using your authenticator app (overseas or at home), check the help for your app.

titleWhat if I don’t want my team to use their personal phones to authenticate?

What if I don’t want my team to use their personal phones to authenticate?

If your team using their personal phones for 2FA is a problem, there are a few options to consider.

  1. Use a shared phone.
Do you have a corporate phone that could be shared in the office? You can set up an authenticator app on the shared phone, and make sure all shared users have access to it. Consider how practical this solution will be for your office. For instance, how would team members work outside the office?

  2. Use an authenticator app called Authy.
With Authy, you can set up an account and share the credentials across multiple devices. Each user can access it in a browser or install it as a desktop or mobile app, and sharing credentials means that they can all access the same 2FA codes. For help setting this up please see the Authy website.

  3. Use email 2FA.
If everyone using your shared login has access to the email account associated with that login, you can use email 2FA. All users need access to the email inbox so that they can receive the authentication code when they log in.

What if more than one person needs access to my account (e.g., accountant)?

Two-factor authentication (2FA) is specific to your user account, not your file or business. By you enabling 2FA for your log in, it will not impact other users accessing your file. Each person can choose to opt-in to 2FA for their account. For more information, see Two-factor authentication for accountants and bookkeepers.

I’m using shared logins - how can I use an authenticator app?

Because most authenticator apps can only be installed on one device, using shared logins creates a problem when multiple people need access to the app. Ideally, everyone should have their own unique log in details. If you’re using a shared login, you should think about moving to unique logins.

If unique logins aren’t possible, you have three options:

  1. Use a shared phone.
Do you have a corporate phone that could be shared in the office? You can set up an authenticator app on the shared phone, and make sure all shared users have access to it.
Consider how practical this solution will be for your office. For instance, how would team members work outside the office?

titleWhat if I'm going overseas?

What if I'm going overseas?

Your authenticator app will still work overseas as it doesn't require mobile coverage, data or internet access. If the Google Authenticator app stops working while overseas, it might be a time sync issue (see this Google support doc for help).

If you have any issues using your authenticator app (overseas or at home), check the help for your app.

If you won't have a mobile phone overseas, you can:

  • use your one-time backup codes (provided to you when you set up 2FA or downloadable from the Security Centre)
  • use an authenticator called Authy which can be installed on your laptop, or
  • use email 2FA.

titleWhat happens if I get a new phone or mobile number?

What happens if I get a new phone or mobile number?

Because the authentication app is tied to the phone it's installed on, if you change your number but use the same phone, 2FA won't be affected.

But if you change phones, you'll no longer be able to access your verification codes until you enable 2FA on your new device.

Alternatively, you can sign in using one of your backup codes. If you can't access your phone or backup codes, please see Recovering your account.

titleCan I turn off two-factor authentication?

Can I turn off two-factor authentication?

2FA secures your business data (which we take pretty seriously) so it can't be turned off. However you can switch between authentication app 2FA and email 2FA.
