  • Calculating total hours an employee has worked on a job (Australia only)

AccountRight Plus, Premier and Enterprise, Australia only

This support note is only applicable for AccountRight v19 and earlier, and its purpose is:

  • to allow a quick display of total hours a given employee has worked for a selected job
  • to allow tabulation of payroll categories allocated to a job number for a given employee for a selected Job
  • to allow a "WHAT IF" analysis based on User customised Billing Markup codes.

A Microsoft Excel template is available for download at the bottom of this support note, called PAYJRNL.XLT, which links to the Payroll Journal report in AccountRight.

Its use relies on the following:

  • Job numbers must be used on Paycheques. The template will not pull any job allocations from Purchase orders or Sales etc.
  • The Payroll Journal report must include the Job No field.
  • The report must be filtered to have a selected employee (the template isn't designed to work for all employees).

 

Downloading the report template
  1. Click the PAYJRNL.XLT file at the bottom of this support note.
  2. At the prompt, click Save and save the file in the Spredsht folder in your MYOB program folder.

  3. When asked if you want to overwrite the existing file, click Yes. This will replace the existing template.

  4. Double-click the template to open it in Excel.
  5. Click on the HOURS sheet.
  6. Select the cell range H5:J8. This range is NAMED markups, and is the range that the coding behind the buttons looks to when calculating the billing analysis.
  7. Change the Markup codes in the range to suit your own needs. The format must stay the same though, for example Markup code, then Description, then %.
  8. Insert more cells from WITHIN the initial range should you need more rows for more codes.
  9. Save the changes to the template.
Displaying the calculated hours for a job
  1. Access the Payroll Journal report (Reports > Index to Reports > Payroll tab > Payroll Journal > Click Customise).
  2. Filter the report for the selected employee, and choose your date range.
  3. Click the Report Fields tab and ensure the Job No. field is selected.
  4. Click Send to and choose Excel. The report opens in Excel.
  5. Click Calculate Hours: Display. The Entering the job box appears.
  6. Type in the job you wish to calculate hours for and click OK. A message box will display the result.
Calculating hours for billing analysis
  1. Access the Payroll Journal report (Reports > Index to Reports > Payroll tab > Payroll Journal > Click Customise).
  2. Filter the report for the selected employee, and choose your date range.
  3. Click the Report Fields tab and ensure the Job No. field is selected.
  4. Click Send to and choose Excel. The report opens in Excel.
  5. Click Calculate Hours & Billing. The Entering the job box appears.
  6. Type in the job you wish to calculate hours for and click OK.
  7. Complete the Markup Code column. Refer to the Markup Code table on the sheet for help.
  8. Click Update Billing.
  9. Click Update profit.
  10. Click Total. The report will show:
    • the total hours worked for the job
    • what it cost the employer
    • what it MIGHT cost the client, and
    • the profit from the billing.
