Adding and editing agents for lodging tax returns

There may be one or more Agents in the Practice.
The principal lodging agent for the Practice

This is the default agent whose details are entered on the Control Record Lodgment tab and Names/Audit tab.

The default agent generally will not appear on the Agents index.

To enter the ELS details for the default agent, open the Tax — Client Search page and select ELS Setup on the Tasks bar.

For any return where Agent is blank on the Return Properties Staff tab, the return will be lodged using the default agent details supplied from the Control Record.
Additional agents

To record the details for additional agents, open the Tax — Client Search page and select Agents on the Tasks bar.

Agents may lodge using the default agent registration number, name, address and ELS lodgment details. For these agents you must select the Default From Control Record checkbox on the Defaults tab.

Agents may lodge under a different Tax Agent Registration Number to the default agent for the practice. For these agents untick Default From Control Record on the Defaults tab and configure the ELS details on the Security, Connections and Passwords tabs.

If an agent is identified on the Return Properties Staff tab the return will be lodged under that agent.
One or more Tax Contacts also need to be configured. See Adding tax contacts
To add an extra agent in Tax

Click
on the MYOB AO toolbar.

Click Agents under Practice on the Tasks bar, or if you have a return open click Maintenance > Agents.

Click New.

On the General tab enter:

Agent Code — this is the code by which the Practice and Tax will recognise the Agent. Enter an easily identifiable code. The Agent Code must be unique.

Agent Reference Number — this is the registration number given to an authorised agent by the Tax Practitioners Board formerly known as the Tax Agents Board.

ABN — enter the Agent's Australian Business Number.

Division — If applicable, enter a Division number.

Telephone — the Agent's telephone number is not used in the Declaration as the Contact number. If the Agent is also the contact then those details will be entered in the Contact Details section.

Facsimile — enter the agent’s facsimile number. This number will be used in any form that requires a facsimile number.

Mobile — enter the agent's mobile phone number if required.

Email — enter the agent’s email address. This address is required when registering a business and applying for a TFN (ELS form TR).

Given Name — if the lodging Agent is not an individual, leave this field blank, otherwise enter the first and second given names of the Agent.

Surname — enter the surname of the individual or if the Practice is a Partnership and lodges under the Practice name, then enter the Practice name to be printed in the Declaration.

Practice Name — enter the Practice name. The Practice name is required for the Declaration in the Superannuation Fund and Self-Managed Superannuation Fund returns.

Configure the remaining information for the Agent on the Defaults, Banking, Security, Connection, Passwords and Addresses tab.

Click OK to save the agent.

Click Close.
The Tax — Client Search page opens.
All the agents currently configured are listed.
The Agent Properties window opens.
Contact numbers
The fields on these tabs are similar to those in the practice control record and ELS communication setup.

The new agent appears in the list in the Agents window.
To edit existing agents

Click
on the MYOB AO toolbar.

Click Agents under Practice on the Tasks bar, or if you have a return open click Maintenance > Agents.

Click to select the agent you want to edit and click Properties.

Edit the properties of the agent as required.

Click OK to save the changes.

Click Close.
The Tax — Client Search page opens.
All the agents currently configured are listed.
The Agent Properties window opens.
Adding tax contacts
The Tax Contact printed in the Agent's Declaration is the person who the ATO will contact about the return.
For any return where no contact is indicated on the Return Properties Staff tab, the Agent's Declaration for the return will show the Tax Contact for the practice from the Control Record Lodgment tab. Otherwise, it will show the contact identified on the Return Properties Staff tab.
To configure the Tax Contact for the practice

Click
on the MYOB AO toolbar.

Click Control Record under Practice on the Tasks bar, or if you have a return open click Utilities > Control Record.

Open the Names/Audit tab.

In 25 alpha characters or less, enter the name of the Tax Contact.

Click OK to save the Control Record.
The Tax — Client Search page opens.
The name of this contact will appear on the Lodgment tab.
To add extra Tax Contacts

Click
on the MYOB AO toolbar.

Click Tax Contacts under Practice on the Tasks bar, or if you have a return open select Maintenance > Contacts.

Click New to open the Contact Properties window.

On the General tab, in 25 alpha characters or less, enter the name of the Tax Contact and their contact details.

Click OK to save these details.

Click Close.
The Tax — Client Search page opens.
All the tax contacts currently configured are listed. The default Tax Contact for the practice from the Control Record need not appear in the list of Contact’s.
The new contact will appear in the list.
