Adding an assignment to a client

Accountants Enterprise only

You can add an assignment to a client using the Assignments tab.

The rules for deciding if a schedule or a job is added to an assignment are:

  • If a schedule template is added to an assignment template, a schedule is created and added to the assignment using the schedule template details.

  • If no schedule template is associated to an assignment template, a job will be created and added to the assignment.

To add an assignment without a job, select None from the Job field drop-down. Click the checkbox beside each template you want to include. None must be selected before selecting the assignment template — otherwise a job will be created.

Adding an assignment to a client is a two step process.

Step 1 — Add assignments and jobs to a client

  1. Click Click here to add a new job in the first row of the Job Sheet table or the Assignments table.


  2. The Add Assignment wizard opens.
  3. Click the magnifying glass button to find a Client.


  4. A list of assignment templates that have been created in the system are displayed. You can use these templates to add assignments to the client.

    The Job field on the Step 1  Create Assignment for Client contains the default name for the job.
    Job names must be unique. A message telling you that the job name is already in use is displayed if a newly created job name is not unique.
    Changing the Job name by overtyping the default year on Step 1  Create Assignment for Client only flows through to Step 2 Job/Schedule Details if the change is made before you select the template name.
    If the Template name is selected before you change the Job name on the Step 1  Create Assignment for Client the Job name can only be overwritten in Step 2 Job/Schedule Details.

  5. Select the assignment template from the list in the table.


  6. New tabs are added for each selected template.
    These tabs contain the basic information that needs to be captured for a job being added to the client.
  7. Click Next to go to the Job/Schedule Details tab.

  8. Step 2 — Complete the job details

  9. Select the Job.


  10. It defaults to the current year but a different year can be selected from the drop-down. This is a mandatory field.
  11. Select the employee Assigned To the job.


  12. This field is initially blank and is non-mandatory. Click the magnifying glass button to open the Find Employees window. Find and select an employee to whom the job will be assigned.
  13. Enter the Budget for the job.

  14. Enter the Target finishing date for the job.


  15. This field is used to specify an end date for the job. By default this field is blank. Enter the date in the format dd/mm/yyyy or select it from the drop-down calendar.
  16. Select the appropriate options for the Assignment Responsibility, if required.


  17. The Assignment Responsibility is derived from the assignment template. If no data has been provided on the assignments template, the information is derived from the client responsibility team.
  18. Enter any supporting information concerning the job in the Notes section.

  19. Click Next or select the next available tab.

  20. Click Finish when you are satisfied with the information supplied.


The Assignment tab displays the newly created assignments and jobs attached to them.
