Responsibility tab

The Responsibility tab is available on the:

  • Client page

  • Contact page

  • (AE) Suppliers page.

The Responsibility tab is used to create and maintain information about the people and areas within your practice that are responsible for a client, contact or supplier’s (AE) work. You record the Team of people who will perform various functions for the client, as well as the Partner Responsibility and Structure Responsibility that have been allocated to particular clients. These responsibilities are attached to clients, contacts or suppliers for reporting purposes.

(AO) The roles available for selection in this tab are Manager, Employee, and Team Member. The team roles are setup as defaults in the system, and cannot be modified.

(AE) The team roles you define for your clients, contacts or suppliers are your choice. The roles available for selection in the Responsibility tab, however, are defined and maintained by your system administrator. Examples of different team responsibilities are Client Manager, Assignment Manager, Junior Accountant.

(AE) The master list of team member responsibilities are set up by your system administrator using Maintenance > Internal > Responsibility Types. Only one of each team responsibility type can be used for each client, unless your system administrator has designated a role as being available for multiple use.

To add a new team member or partner, click the relevant entry field at the top of one of the lists, then click the ellipse button. Select the employee you require from the Find window. Allocate them a particular responsibility or role for the client, contact or supplier.

Main areas of the Responsibility tab

The Responsibility tab has the following areas:

  • Partner Responsibility

  • Team

  • Notes

  • Structure Responsibility.

The practice structure is divided into:

  • Department

  • Office

  • Company.

Each of these fields has a magnifying glass button that opens a Find window to find and select the appropriate practice structure.

(AE Practice Manager) You can also define a team for a client’s assignment. This is done in the Assignment Details page > Main tab. Follow the steps in To add and maintain responsibilities, to define the team for an assignment.

(AE) To amend current responsibilities, click the drop-down for an employee name or a selected responsibility and select an alternative.
To delete an employee from a team, highlight the entry line for the employee and click [Delete].

Responsibility tab fields

Field or Button

Description

Partner Responsibility

Start Date

Enter the date in the format dd/mm/yyyy when the partner was assigned responsibility for the client, contact or supplier. Or select the date from the drop-down calendar.

End Date

Enter the date in the format dd/mm/yyyy when the partner stopped being responsible for the client, contact or supplier. Or select the date from the drop-down calendar.

Enter an End Date when a client, contact or supplier’s partner changes, otherwise the client, contact or supplier will be displayed inaccurately in reports under the responsibility of multiple partners.

Partner

Select the partner allocated to this client, contact or supplier. Click the ellipse button to open the Find Partners window from where you can select a partner. This field will default to -UNSPEC- if no partner is selected. The field is not mandatory, but it is good practice to complete it.

Team

Employee

Displays the name of the employee responsible for the attached role. Click the ellipse button to open the Find window and select an employee or to change the already selected employee.

Responsibility

Displays the role assigned to the attached employee. You can change the current responsibility using the drop-down to select another responsibility.

Apply Team Security

(AE Practice Manager)

Select to limit access to this client or contact to team members only. Once selected, this client or contact becomes inaccessible to all employees outside the team members listed on this page. This means that the client or contact will not appear on the Find Client and Find Contact pages or any other windows unless the logged in user is a member of the team.

You need sufficient permissions to see and use this checkbox. See Security and Team security for more details about this feature.

Structure Responsibility

Dept

Select the department of the partner from the Find Departments window which opens when you click the ellipse button beside the field. If this button is not displayed, click the field to display it. This field is not mandatory.

The field defaults to -UNSPECIFIED- if no department is selected.

Office

Select the office of the partner from the Find Office window which opens when you click the ellipse button beside the field. If this button is not displayed, click the field to display it. This field is not mandatory.

The field defaults to -UNSPECIFIED- if no office is selected.

Company

Select the company responsible for this client, or associated with this supplier, from the Find Companies window. This window opens when you click the ellipse button beside the field. If this button is not displayed, click the field to display it. This field is not mandatory.

The field defaults to -UNSPECIFIED- if no company is selected.

Notes

Enter a maximum of 255 alphanumeric characters of additional information in this area. For more on notes see Notes on the Main tab.
