The bill reversal feature on the Bills tab enables you to return billed amounts to WIP. This is handy, for instance, if you would like to correct bills that are raised for the wrong client.

Reversing a bill:

  • Reduces the debtors balance by the exact amount of the fee. As the fee numbers and amounts are identical, both entries balance each other out.

  • Reinstates the WIP time and disbursement entries associated with the original fee.

The full amount of a receipt must be reversed.
If the bill was partially or fully receipted, you should unallocate the receipt applied to the bill and allocate the negative bill to the original bill.

In MYOB AE, there are 3 stages to reversing a bill:

To unallocate the payment (AE)
  1. Select Bookkeeping > Creditors > Creditors Payment on the main menu. The Payments window opens.
  2. Select the Ledger option. The Payments window changes to the Ledger window.

    An alternative method is to open the client and click Debtors ledger on the TASKS bar.

  3. Select the Company from the drop-down.

  4. Enter the Supplier Code or the Supplier Name, then press [Enter]. When one is entered correctly, the other displays automatically. A list of all outstanding invoices and unallocated cash for the selected supplier is displayed.

  5. Click the Show Zero checkbox. A list of all transactions for the supplier are displayed, with invoices at the top and payments below.

  6. Click the invoice you want to unallocate and press [F2]. The invoice and the associated cheque payment are displayed.

  7. To revert to the previous view, press [F2] again.

  8. Select the cheque payment.

  9. Click Unallocate. The Tax on Unallocated Cash window opens.

  10. Select the tax rate.

  11. Click OK. The invoice to which the cash was allocated now displays as Unpaid in the Ledger window.

    If the prompt, Failed to unallocate. You can not unallocate cash which is in a closed accounting period appears, you will need to enter a negative receipt.

  12. Click Close. The Ledger window closes.

To reverse the bill (AE)
  1. Open the Client page or Assignment Details page for the client or assignment against whom/which the bill was posted.

    To reverse a bill created at the client level, open the client page. To reverse a bill raised at the assignment level, do this through the client page or the Assignment Details page.

  2. Click the Bills tab.

  3. In the Full Billing History area, select the bill you want to reverse.

  4. Click Reverse. The Bill Reversal message is displayed requesting confirmation of the reversal.

  5. Click Yes. A draft version of the bill is created with today’s date in the Draft Bills list.

  6. Double–click the new draft bill. The Billing Main page opens.

  7. Click Bill Amount . The Bill Amount window opens and the previously billed amount is displayed as a negative amount in the Billed column.

  8. Click OK to reverse the whole amount.

    or

    Adjust the negative billed amount to the amount you want to reverse before you click OK.

  9. Click Bill Paragraphs . The Bill Paragraphs window opens and the amount to be reversed is displayed as a negative amount in the Totals fields. Add a comment to identify the reasons for reversing the bill.

  10. Click OK to save the information entered in the Bill Paragraphs window.

  11. Change the Invoice Date, if required. If the original invoice is in a prior period, bill reversals are processed in the current open period so that the end of the month reports for the previous period(s) are not adversely affected. If the original invoice is in the current period and you are reversing a bill in the same period in which it was created, the reversal date should not be before the original billing date.

  12. Click Submit , then Authorise , then Post.

    You need the correct level of security to authorise and post the bill.

  13. Click Yes to accept the Confirm Posting message to complete the reversal. The Bills Ready to Print window opens. You can preview or print the bill or click Close to exit the window. A new bill is listed in the Full Billing History area of the Bills tab showing the reversed amount. The reversed WIP is available against the relevant assignmentsjobs when you next bill the client.

To allocate the unallocated payment (AE)

Allocate the reversed bill in the Debtors Ledger against the original invoice. You may issue a new invoice for the correct amount making appropriate write ups/offs.

  1. Access the Debtors Ledger in Ledger mode for the client.

  2. Click on the unallocated receipt.

  3. Press and hold [Ctrl] and click on the bill you want to allocate the receipt against.

  4. Click Allocate. The receipt is allocated to the bill.

To reverse a bill (AO)
  1. Open the Client page for the client against whom the bill was posted.

  2. Click the Bills tab.

  3. In the Full Billing History area, select the bill you want to reverse.

  4. Click Reverse. The Bill Reversal message is displayed requesting confirmation of the reversal.

  5. Click Yes. A draft version of the bill is created with today’s date in the Draft Bills list.

  6. Double–click the new draft bill. The Billing Main page opens.

  7. Click Bill Amount . The Bill Amount window opens and the previously billed amount is displayed as a negative amount in the Billed column.
