Accountants Office with Practice Manager only

You can only adjust (edit) a saved timesheet or disbursement if:

  • The time processing period has not closed (or expired).

  • You have access permissions to do so.

  • The time has not been fully or partially billed to the client.

 

Entries in a saved timesheet cannot be deleted.
Only the C/R and Units columns of a saved timesheet can be adjusted.

Any items in red cannot be changed as they are either partially or fully billed.

The methods described below are applicable if you need to change a timesheet due to a mistake. It's not used to clear wip from lost clients. To clear wip from lost clients, see Entering write-ons/write-offs during billing.

To adjust charge rate and unit errors on a timesheet
  1. Click Timesheet on the toolbar. By default, the Timesheet Entry page opens with today’s date.

  2. Select the date of the timesheet that is to be adjusted from the Time Period field. You can change the date for the timesheet using the up-down arrows to navigate by one day at a time. Alternatively, click the Calendar button to select a date.

  3. Adjust the information in the C/R and Units columns.

  4. Click Save on the TASKS bar. The changes to the timesheet are saved.

  5. Close the timesheet.

To adjust quantity and cost errors on a disbursement
  1. Select TimesheetOpen > Practice Disbursement on the toolbar. The Disbursement Entry page opens with today’s date.

  2. Select the date of the disbursement that is to be adjusted from the Time Period field. You can change the date for the disbursement using the up-down arrows to navigate by one day at a time. Alternatively, click the Calendar button to select a date.

  3. Adjust the information in the Quantity and Cost columns.

  4. Click Save on the TASKS bar. The changes to the disbursement are saved.

  5. Close the disbursement.

To adjust client/job or task errors on a timesheet or disbursement
  1. Click Timesheet on the toolbar. By default, the Timesheet Entry page opens with today’s date.

    or

  2. Select TimesheetOpen > Practice Disbursement on the toolbar. The Disbursement Entry page opens with today’s date.

  3. Select the date of the timesheet or disbursement that is to be adjusted from the Time Period field. You can change the date for the timesheet or disbursement using the up-down arrows to navigate by one day at a time. Alternatively, click the Calendar button to select a date.

  4. Select the incorrect entry.

  5. For a timesheet, zero the Units field for the selected entry.

  6. For a disbursement, zero the Quantity and Cost fields for selected entry.

  7. Select the correct Client/Job in the first blank row at the top of the table.

  8. Select the correct Task from the drop-down.

  9. Complete the remaining fields of the timesheet or disbursement as required.

  10. Enter a Comment explaining the reasons for the initial error.

  11. Click Save on the TASKS bar. The changes to the timesheet or disbursement are saved. The incorrect entry remains on the timesheet or disbursement but it is not displayed in any reports.

  12. Close the timesheet or disbursement.

To change the client/job for a timesheet entry

As you cannot edit the Client/Job code in a saved timesheet, you can either:

  • move the entry using Timesheet > WIP Transfer on the toolbar.

or

  • enter two transactions in that timesheet (if still within a current accounting period or the timesheet lock date is not enabled for that date):

  • a negative entry line for the incorrect client, and

  • a positive entry line for the client/job to which you wish to change to.

To change the task code for a timesheet entry

As you cannot edit the task code in a saved timesheet, you can enter two transactions in that timesheet (if still within a current accounting period or the timesheet lock date is not enabled for that date):

  • a negative entry line for the incorrect task code, and

  • a positive entry line for the task/code to which you wish to change to.
